Responsibilities entail coordination of talent schedules, travel, press nominations, personal appearances, premieres, junkets, moderating phone interviews, per diems, catering, photography, red carpet, screenings and other duties as required. Additional work included preparation of budgets for clients, gathering of photo materials, working for other clients such as Warner Bros for their BAFTA campaigns, and titles such as “Juno”, “Love in the Time of Cholera”, The “Saw” series. “The Women and others.  

DOVEBID, INC. 1-07 to 10-07
Long-term contract assignment as Executive Assistant to CEO, CFO and COO of global assets management firm. Rolling calls, prepared and reconciled expense reports, booked domestic and international travel, local hotel reservations for clients, arranged conference calls, correspondence, extensive work using Outlook as master of global calendar, FedEx, catering for in-house meetings, aided in office relocation and greeted guests. Worked weekends to prepare suite for occupancy and coordinated with building management. Reconciled billed costs against contract for CEO’s multi-month stay with family at hotel during construction of his home resulting in a several thousand dollar refund due to overcharges. Opened and distributed mail, worked on special projects, handled company and individual licensure and insurance for business licenses in various states. Company acquired by another and relocated to Baltimore, Maryland.

INDEPENDENT CONTRACTOR 01-06 to 1-07                                                                  Executive Assistant to owner, Russell Shubin at Architectural firm, Shubin + Donaldson for over four months. Responsibilities included business and personal scheduling, email, written correspondence, personal bill payment, office management, catering, coordinating with Santa Barbara office, pouching, FedEx, expense reports and reconciliation, car maintenance, greeting guests, special projects, tape back-up, dictation and transcription. Personal shopper for celebrity clients purchasing holiday gifts and home décor items. Event planner for private parties and off-site business events.

Executive Assistant to President Western Region, GM Los Angeles. High profile position interfaced with major clients and top executives within the company. Responsibilities included rolling calls, scheduling conference calls, meetings, expense reports and reconciling against statements, booking travel, internal reports, office catering, home catering, fielding incoming cold calls, mass mailings, and heavy volume email. Handled all personal appointments for President. Planned and executed offsite the 2004 GM meeting for people and all social activities for global conference of over one-hundred participants and sent invitations, secured site, catering menu, seating chart and technical equipment for the 2005 Trust Barometer Survey executive event.
